Grant Proposal Process

TIMELINE

SCIENTIFIC TIMELINE

ADMINISTRATIVE AND BUDGET TIMELINE

6 Months

  • Identify topic
  • Develop idea
  • Search funding opportunities
  • Collect preliminary data
  • Prepare pre-proposal or LOI materials (if needed)
  • Review whether institutional approval is needed for LOI

4-6 Months

  • Draft Specific Aims
  • Meet with Program Official
  • Select funding opportunity (NOFO)
  • Review NOFO guidelines
  • Establish team, including statistician
  • Submit Grant Initiation Form
  • Seek supervisor approval
  • Review proposal guidelines
  • Plan for expertise, staff, and personnel resources (i.e. effort) to achieve scope

3-4 Months

  • Consult with ADR on scientific approach
  • Develop Research Strategy
  • Prepare draft for peer review and identify qualified reviewers
  • Establish performance sites, sub-recipients, key personnel, and roles
  • Detail budget categories and items needed to achieve scope
  • Meet with OFS to discuss timeline and develop budget
  • Confirm sub-recipients, consultants, and vendors are approved for business

2-3 Months

  • Collaborate with OVPR Research Development Team
  • Plan peer review and send draft materials to review chair
  • Draft and request letters of support
  • Obtain quotes for purchased services
  • Prepare draft budget aligned with project scope
  • Request sub-award and consulting materials
  • Request Dean’s letter of support or meet for special circumstances

2-8 Weeks

  • Hold peer review and incorporate feedback
  • Collaborate with team to finalize science
  • Verify all documents and forms are in process
  • Finalize budget, budget justification, and administrative files
  • Review timeline and deliverables
  • Upload final or near final versions to SharePoint by due date for review
  • Meet regularly with OFS and communicate changes as needed
  • Initiate sponsor application

6-10 Business Days

  • Finalize complete drafts of scientific materials for SPS submission
  • Upload near final scientific files in SharePoint
  • Make final edits to budget, budget justification, and administrative files if required
  • Upload final documents and add to SharePoint “FINAL” folder
  • Compile and submit complete draft to SPS for review

2-5 Business Days

  • Finalize All scientific documents and add to SharePoint “FINAL” folder
  • Preview compiled proposal and make minor edits
  • Respond to SPS review and make required and/or recommended edits
  • Receive SPS approval

1-2 Business Days

  • Confirm proposal is ready for submission
  • Monitor for sponsor communication and/or acceptance
  • Submit Proposal to Sponsor

Post Submission

  • Initiate IRB Process
  • Compile proposal information for Other Support file
  • Notify team and sub-recipients that proposal was submitted and provide Other Support details
